Existing pop-up selections while adding new options in Apple Numbers

Is it possible to add option for pop up menu and fill other cells with their existing values? I am finding existing pop-up values default and lost existing values?

Apple numbers how to add to pop up menu and update other cells without losing their existing pop-up selections?

I don't know how to do this on an iPhone, but I assume it works similarly to a Mac.

Select all the existing Pop-Up Menus and click (tap) on the plus (+) sign to add another menu item. That item will be added to all selected Pop-Ups and each one will retain its previous menu item.

Can you describe your problem with a little more detail...?


in Numbers for iOS, you can:


Select a cell, use Format -> Pop-up Menu


If the cell currently has a Pop-up Menu defined, you see its options and can add new ones.


If you select multiple cells that all have the same pop-up menu assigned, any edits are applied to all selected cells (e.g. a new menu option is added for all cells). Existing cell values should be retained.


If you select multiple cells that have different pop-up menus assigned, Numbers collates all possible options and creates a new pop-up menu containing all the combined options. Again, existing cell values should be retained.


If the selection contains cells that had no pop-up menu assigned, the menu is assigned to that cell.


The only case where existing cell values would be removed is if that cell's option was removed from the pop-up menu.

I think there are valid arguments either way. I can see a case where you want to populate a series of cells with certain pop-up options, then add or subtract options from certain cells. Your preferred method would make that harder.


The underlying issue, I think, is that the pop-up menu data is associated with each cell.

It's not like Numbers keeps an internal table of pop-up menus and a separate list of cells that it applies to, such that changing the pop-up menu definition automatically populates to the cells that reference it.


Either way, no one here can make that change. You're welcome to make a suggestion via Feedback - Numbers - Apple

Is there a use case cells in same column already formatted to same pop-up should have different pop-ups later on?


I only know this need arise after the initial setup of the pop-up menu; and this happens when I am on a cell; IMHO it’s not intuitive to select whole column when adding item to existing pop-up menu already applied to whole column. Structured Table is what I am used to.

Structured Table behavior: reformatting a cell to automatically updating whole column is more labor efficient. Example is adding pop-up item to a cell should automatically update whole column.
